Terms and conditions

Please read the following terms and conditions thoroughly before hiring or purchasing products or requesting services from ourselves. By hiring or purchasing products and/or services from us, you agree to the below terms and conditions. These terms do not replace or affect your statutory rights.

In the below terms, “you” or “your” refer to the customer and “we”, “us”, “Hudson Rose” refer to Hudson Rose Bars and Event Hire. We will accept no variation of these terms and conditions unless agreed in advance in writing.

Deposit / Booking Fee

To secure a service or product to hire with Hudson Rose, we will ask you for a deposit to secure the date of your booking. This then will be deducted from the overall cost on your final invoice. Deposit amounts vary depending on what you are hiring from us.

If you require a full bar service for an event we will require a booking fee (£100) to secure the date of your booking. This is non-refundable and it will not be deducted from any bar tab or final invoice you incur. The booking fee will allow us to apply for a TEN (temporary event notice) for your event on your behalf.

Cancellations

In the event of a cancellation, we require twenty-one (21) days minimum notice in writing to Hudson Rose before the planned event to avoid being charged the full invoice for the hire of products or our services.

Booking deposits for our full bar service are transferable up to 21 days prior to the event; however, they are non-refundable unless previously discussed in writing. Full payment is required if the above terms are not met.

Bookings

Any quotations given, whether they be verbal or by email will only be valid for seven (7) days from the date of enquiry. Hudson Rose cannot guarantee that your date will be available after these 7 days have elapsed. To confirm a booking, the client must provide either a booking fee or a deposit;

amount is specific to each individual client. This must be paid within the seven (7) days by electronic transfer.

The remaining balance is due no later than one week before the date of the event. This does not apply to bar tabs or any additional fee’s requested which occur on the day of or during the event. These must be paid no later than seven (7) days from receipt of this balance.

Access (Parking and Loading)

Adequate parking is required for all events and must be provided by the client. Registrations can be provided if required. If Hudson Rose Bars and Event Hire are providing mobile bars, stock, ice, glasses or event props, suitable unloading and loading locations must be provided. Any delays to service arising from poor unloading facilities will not be the responsibility of Hudson Rose.

Bar Service

We will provide service for the agreed service hours from their start time until the end time, as dictated by your temporary event notice (license). This time cannot be adjusted.

If you are providing your own stock, sourcing your own glasses and/or drink accompaniments, inadequate or poor supplies may impair your enjoyment of the drinks. Hudson Rose cannot be held responsible for this.

When our complete bar service is provided, where we supply one or more of our mobile bars, staffing, drinks, ice, set up, and so forth, we estimate for a reasonable number of drinks per person. If the client supplies incorrect information relating to the number of guests, our estimations will be incorrect and this can jeopardise the longevity of drinks supplies.

We reserve the right NOT to serve anyone who appears to be:

a. under the age of 18 and without the requested photo ID

b. under the influence of alcohol or other substances

Mobile Bars

When hiring our mobile bars with or without our full bar service, a reasonable amount may be billed to the client in respect of any damage to the bar, other than reasonable wear and tear, which is shown to have been caused by guests of the client upon inspection of the damage to the bar.

The client is responsible for providing several 13 amp power supply sockets and running water within a reasonable locality of the required bar positioning. We will supply an extension cord. All due care and attention is taken to not stain or damage any flooring under the bar area however it is the responsibility of the client to choose an appropriate location for the mobile bar.

We do aim to provide our bars in a perfect state, however, with working several events general wear and tear, light scratches and marks may appear on your hired bar. We do repair and replace these minor areas regularly.

To enable your event to run smoothly close access, preferably directly behind the bar, to our trailers is needed to re-stock. Subject to the size of the event you will be required to provide the correct waste disposal units.

Glassware

When glassware is required by the client, we opt to use third-party companies who may want to deliver on different days surrounding your event. In this case, the third-party company will liaise with the client to ensure delivery and collection is prepared correctly in the interests of all parties. All glassware is audited after the event and the client will be charged by the third-party company for each broken or lost glass. It is advisable to make a note of glassware numbers to ensure that you are billed correctly after the event for any lost or broken glassware.

The only exception to this is if you opt to hire the prosecco wall for your event. We have our own source of prosecco flutes to compliment the item. If you choose to hire with the glasses included, any breakages or losses will be charged at £2 per glass. This will be payable to Hudson Rose Bar and Event Hire.

For events that require disposable drinkware, we will provide an adequate supply at no cost to the client.

Complaints

Any complaint about our service, either in advance, during or after the event is treated seriously.

If you are not happy with the service whilst the party is happening, speak with the staff on-site to see if the problem can be rectified. We need to know as soon as possible for us to enhance your enjoyment of your event right there and then.

Licensing

When Hudson Rose Bar and Event hire provides a full bar service they will apply to the appropriate council for a license (if required) on your behalf. We can assist with this for ‘dry hire’ if needed.

Insurance

Hudson Rose Bars and Event hire are fully insured. You may request to see copies of our latest insurance documents if required.

Additional

Hudson Rose are not be liable for any delay, loss or cancellation of service arising from contingencies beyond their control e.g. road closure, ‘act of God’ etc.

Hudson Rose Bars and Event Hire are not responsible for the success or non-success of an event.

We ask that the client checks through any documentation or invoice thoroughly to ensure that the venue address, contact numbers, times and date are correct. We cannot be held accountable if our service is late or delayed and unable to contact the client to confirm.

When hiring a service that provides alcohol, you must be over 18 years of age to book this service.

The above conditions are subject to change at the discretion of Hudson Rose Bars and Event Hire in part or in whole for one or more of its clients where the company has grounds deemed necessary.
